1. Who we are
Airis is an Ireland-based AI voice receptionist and dispatcher for trades businesses, starting with independent plumbers. Airis captures inbound or missed-call details, structures the job information, creates a summary, and passes the lead to the trades business.
Airis is operated by GREEN SHEEP FAMILY FACTORY LIMITED trading as AIRIS. For privacy questions, data requests or security concerns, contact login@airis.ie.
2. What Airis is and is not
Airis is software for call intake and lead handoff. Airis is not an emergency service, not a plumbing, electrical or locksmith provider, not a marketplace, and not a professional diagnosis service. Trades businesses using Airis remain responsible for their own customers, response decisions, work, advice, pricing and safety judgement.
3. Our GDPR roles
For our website, signup, account administration, security, support, billing if introduced, and product analytics, Airis normally acts as a data controller.
For caller and job data handled on behalf of a trades business, the trades business is normally the data controller and Airis is normally the data processor. Our Data Processing Agreement explains this processor role in more detail.
4. Personal data we process
- Business account data: business name, owner/operator name, email address, mobile number, business phone details, service area and onboarding choices.
- Caller and job data: caller phone number, caller name if provided, job/problem description, address, Eircode, area, urgency, callback details and call metadata.
- AI and service outputs: transcripts where enabled or technically produced, structured intake fields, AI-generated summaries, follow-up notes and operational handoff records.
- Portal and login data: login identifiers, magic-link/session records, session cookies, dashboard activity needed to operate the service and support requests.
- Technical data: server logs, security logs, diagnostics, provider event IDs and website analytics events.
- Support/contact data: emails, messages and notes you send us.
5. Why we use the data
- To provide the AI receptionist and dispatcher service.
- To capture, structure and hand off leads to the trades business.
- To create summaries and dashboard records.
- To operate signup, login, onboarding and the customer portal.
- To keep the service secure, reliable and auditable.
- To provide support and respond to legal or compliance requests.
- To understand basic website and product usage and improve the service where appropriate.
6. Lawful bases
Depending on the context, we rely on:
- Contract: to provide Airis to business customers and operate accounts.
- Legitimate interests: to secure, diagnose, improve and run the service, and to respond to business enquiries, balanced against privacy rights.
- Legal obligations: where we must keep records or respond to lawful requests.
- Consent: where consent is specifically required, such as optional marketing or non-essential cookies/tracking if introduced. Call recording may also require specific customer-side notices or consent depending on how a business uses Airis.
7. AI transparency
Callers may interact with an AI assistant. Airis should not pretend to be a human receptionist. Our required pilot opening disclosure is: "Hi, you’ve reached [Business Name]. This is the AI assistant. How can I help?"
AI outputs may be incomplete or imperfect. The trades business remains responsible for reviewing summaries, deciding how to respond, and making any professional or safety decisions.
8. Sharing and subprocessors
We do not sell personal data. We use selected providers to operate hosting, telephony, AI processing, SMS, email, analytics and location features. See our Subprocessors page for the current public list.
9. International transfers
Some providers may process data outside Ireland or the EEA. Where this happens, we aim to rely on appropriate safeguards such as EU Standard Contractual Clauses, Data Privacy Framework participation, provider data processing terms, or equivalent lawful transfer mechanisms.
10. Retention
We keep personal data only for as long as needed for the service, security, legal and support purposes. Our v1 working retention targets are: business account data for the active account plus up to 24 months after closure; lead/job summaries for up to 12 months unless a customer requests deletion/export earlier; transcripts stored by the application for a shorter period such as 30-90 days once retention tooling is in place; session cookies for about 30 days; login tokens for about 30 minutes; and security/operational logs for a limited operational period. Automated deletion/anonymisation jobs and provider-side retention settings still need to be confirmed before scale.
11. Cookies and analytics
See our Cookie Policy. The public website currently uses Umami analytics, which is intended to be cookieless. The hosted infrastructure may set strictly necessary or operational cookies, and the portal uses a session cookie for login.
12. Your rights
Under GDPR, you may have rights to access, rectification, erasure, restriction, portability, objection and complaint to the Irish Data Protection Commission. If your request relates to caller/job data for a trades business, we may need to involve or refer the request to that business because it is normally the controller for that data.
